NorthBell builds Switchboard, an AI phone receptionist used by small service businesses to answer their phone lines. This policy covers two different groups of people:
- Businesses: our customers, who hold an account with us.
- Callers: people who call one of those businesses and speak with the receptionist. Callers do not have an account with us and may never visit this site.
What we collect from callers
When you call a business that uses Switchboard, we process:
- Your phone number, as delivered by the phone network with the call.
- What you tell the receptionist: usually your name, a service address, details about the job, and your timing preferences.
- A transcript and a short written summary of the call, plus its date, time, and duration.
Audio handling is performed by our voice platform under the business’s configuration.
[COUNSEL]: the retention period for call audio and transcripts must be decided and stated here.
Every call begins with a spoken notice that the call may be recorded. See Call recording notice below.
What we collect from businesses
- Account details: name, email address, and a password (stored only as a cryptographic hash).
- Business configuration: services, prices, hours, time zone, service area, policies, and the phone numbers and email addresses that should receive notifications.
- Operational records: bookings, requests, messages, and an audit log of changes made in the dashboard.
How we use it
We use this information to operate the service: to answer calls on the business’s behalf, to save requests and messages, to notify the business, and to show the business its own records. We also use aggregate, non-identifying operational data to find and fix problems.
We do not sell personal information, and we do not use one business’s data for another business. A caller’s information is available only to the business they called.
Who else processes it
To run the service we use a small number of vendors: a voice and telephony platform that carries and
transcribes calls, a cloud hosting provider that runs our application and database, and an email and
messaging provider that delivers notifications.
[COUNSEL]: decide whether these sub-processors must be named here or on request.
Cookies and analytics
This marketing site sets no cookies and runs no advertising or third-party tracking scripts. The owner dashboard uses a single session cookie so you can stay logged in.
Your choices
Callers: to ask what was recorded about you, or to ask for it to be deleted, contact the business you
called; they control their records. You may also contact us and we will route your request to that
business. [COUNSEL]: confirm this routing satisfies applicable state privacy law.
Businesses: you can view, edit, and delete your configuration and records in your dashboard, and you can ask us to delete your account and its data.
Children
Switchboard is a tool for businesses and is not directed to children.
Changes
If we change this policy we will update the date above. Material changes will be communicated to businesses directly.
Call recording notice
Businesses may link customers directly to this section.
Calls to a business using Switchboard are answered by an AI receptionist, not a person. Every call opens with a spoken notice that the call may be recorded. The receptionist collects only the details it needs to take a booking request or a message: a callback number, a name, a service address, and what the job involves. It passes those to the business.
The receptionist will never ask you for a credit card number, a bank account, or a government ID.
[COUNSEL]: the final recording-and-AI disclosure wording, sufficient for all-party-consent states, is
pending. The spoken notice today is “This call may be recorded.”
